Dropin-Bike Terms and Conditions

These Terms and Conditions govern the agreement between you (“the Guest”) and Dropin-Sport LTD, trading as Dropin-Bike (“we,” “us,” or “our”), a company registered in the United Kingdom. By booking a trip with us, you agree to these Terms and Conditions. Please read them carefully before confirming your reservation.

1. Bookings

To book a trip, guests must complete the booking form available on our website and agree to these Terms and Conditions. A booking is confirmed only after receipt of the applicable deposit and a signed Acknowledgement of Risk and Release Form, which must be completed prior to final payment.

2. Prices

  • All prices are quoted in British Pounds (GBP) and are per person based on double occupancy, unless otherwise stated.

  • Prices include: accommodation, selected meals, guided cycling tours, bike rental (standard), luggage transport, and applicable local taxes.

  • Prices do not include: international travel to and from the trip location, optional activities, travel insurance, or personal expenses.

  • Optional upgrades (e.g. private room, premium bike, e-bike, etc.) may be available for an additional fee.

We reserve the right to revise prices due to changes in currency fluctuations, taxes, or supplier costs. Prices are confirmed at the time of booking unless a hold expires or payment is not completed.

3. Deposits & Final Payments

  • A deposit of £250 per person is required at the time of booking.

  • Final balance is due 60 days prior to the trip departure date.

  • If the trip is booked within 60 days of departure, full payment is required at the time of booking.

  • If final payment is not received by the due date, we reserve the right to cancel your reservation and retain the deposit.

4. Cancellations & Transfers

We understand that plans can change. Our cancellation policy is as follows:

  • More than 60 days before departure: £50 cancellation fee per person; the rest of the deposit becomes a credit valid for 12 months.

  • 30–59 days before departure: 50% of trip cost forfeited.

  • Less than 30 days before departure: No refund.

We strongly recommend travel insurance to protect against cancellation fees. No refunds are issued for arriving late, leaving a trip early, or missing activities.

Transfer Policy: One free date change is allowed up to 60 days before departure. Additional changes may incur a £50 fee.

5. Trip Modifications & Cancellations by Dropin-Bike

We reserve the right to modify or cancel trips due to insufficient bookings, safety concerns, force majeure events, or unforeseen logistical issues. If we cancel a trip, you will be offered:

  • A full refund, or

  • A credit toward another trip, or

  • A transfer to a different date (with price adjustment if needed)

We are not liable for costs incurred for external bookings (e.g. flights, hotel stays) made before receiving trip confirmation.

6. Guest Responsibilities

By booking with us, you agree to:

  • Respect the local laws and customs of the countries visited

  • Follow our safety instructions and cycling guidelines

  • Use our bicycles and equipment responsibly

  • Notify us of any health conditions that may affect your participation

You confirm you can ride a bicycle confidently, use gears and brakes safely, and are in suitable physical condition for the chosen trip level.

We strongly advise wearing a helmet at all times while cycling.

7. Liability

Dropin-Sport LTD acts as a tour operator and arranges services through third-party suppliers. While we strive to work with reputable partners, we cannot accept liability for their acts or omissions.

We are not liable for:

  • Injury, illness, or death

  • Loss or damage to personal property

  • Delays, cancellations, or service interruptions due to external circumstances

Guests are responsible for any damage to rental bikes or equipment caused by negligence. Theft is not your responsibility if reasonable care is taken (e.g. bike locked when unattended).

8. Insurance

All guests are required to have comprehensive travel insurance, including:

  • Emergency medical coverage

  • Personal liability

  • Trip cancellation and repatriation

Proof of insurance may be requested before trip departure. Participation is not permitted without adequate insurance coverage.

9. Health & Fitness

It is your responsibility to assess whether the trip is suitable for your physical fitness and health condition. Please consult your doctor if unsure. If you have dietary restrictions or health concerns, notify us at least 30 days before departure.

10. Children

Guests under 18 must be accompanied by a legal guardian. Please contact us for trip suitability and specific age-related requirements.

11. Use of Personal Data

We respect your privacy. Personal information provided during booking is used solely for trip coordination and is never sold or shared with third parties without consent. For more, see our Privacy Policy.

12. Photographs & Media

Photos or videos taken during trips may be used for marketing purposes. By participating, you grant us permission to use such media unless you notify us in writing in advance.

13. Passports & Visas

It is your responsibility to carry a valid passport and obtain any required visas. Most countries require passports to be valid at least 3 months beyond your travel dates.

14. Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the UK courts.

15. Agreement

By booking a trip with Dropin-Bike, you acknowledge that you have read, understood, and agreed to these Terms & Conditions, including our cancellation policy and guest responsibilities.
